Session Cancellation Policy
At Soccer HQ LTD, the safety and well-being of our participants is our top priority. However, certain situations may require us to cancel scheduled sessions. Our cancellation policy is as follows:
1. Cancellations Due to Severe Weather or Uncontrollable Circumstances
If a session is cancelled due to severe weather conditions or other circumstances beyond our control, no refunds will be issued. These situations include but are not limited to:
- Heavy rain or storms.
- Snow, ice, or other hazardous conditions affecting safety or the pitch.
- Natural disasters or unforeseen events that compromise safety.
We will always prioritise safety and make every effort to inform participants as early as possible when such cancellations occur.
2. Cancellations Initiated by Soccer HQ LTD
If Soccer HQ LTD cancels a session for reasons within our control (e.g., staffing issues, scheduling errors, or other operational decisions), participants will receive the refund as credit towards future sessions.
3. Communication
All cancellations will be communicated promptly via the contact information provided during registration. We recommend ensuring your contact details are up to date.
4. Policy Updates
This cancellation policy is subject to change. Any updates will be communicated to participants and posted on our website.

Soccer HQ Holiday Football Camps – No Peanut Policy
At Soccer HQ Holiday Football Camps, the safety and well-being of all our young footballers are our top priorities. To protect those with peanut allergies, we enforce a strict No Peanut Policy across all camp sessions.
Policy Guidelines
1. No Peanuts or Peanut Products
• Children, staff, and visitors must not bring peanuts or peanut-containing products to camp.
• This includes peanut butter, peanut-based snacks, and any food labelled as processed with peanuts.
2. Check Ingredients Before Packing Food
• Parents/guardians must carefully check ingredient labels on all snacks and meals before sending them to camp.
• If a product’s label is unclear, we ask that you do not pack it for camp.
3. Safe Food Choices
• We encourage parents to provide nut-free snacks, such as fruit, vegetables, crackers, yoghurt, or nut-free cereal bars.
4. No Food Sharing
• To avoid accidental exposure, children are not allowed to share food with one another.
5. Emergency Preparedness
• Our coaching staff is trained to recognise and respond to allergic reactions, including administering EpiPens if necessary.
• Parents of children with severe allergies should inform camp organisers in advance and provide an emergency action plan and required medications.
6. Policy Enforcement & Communication
• This policy is in place for the safety of all players and will be communicated to all parents, guardians, and staff before camp begins.
• Any food items found to contain peanuts will be removed, and parents will be notified.
